Hey, I'm Damon Millar. I'm an accountant, fractional CFO and business advisor. I work with UK business owners, and I spend a fair amount of my week inside practice files.

I wrote this because almost every piece of AI content aimed at accountants stops at the reporting end. Write the commentary. Draft the client email. Build the board pack. Useful work, and it has been covered to death.

The processing half is where the hours actually go. Bank reconciliation, purchase ledger, chasing what the ledger cannot tell you. That half is barely documented, so this handbook weights itself there.

How to use this

Read section 1 and section 2 before you touch a client file. Section 1 takes twenty minutes and makes every later prompt work better. Section 2 is the part that protects the practice, and it is not optional.

After that, go to the workflow you are stuck on. The nine workflows in section 3 are independent. You do not have to run them in order and you do not have to run all of them.

Sections 4 through 8 are the supporting material: spreadsheets, your ledger software, the operating rhythm, agents, and what to measure.

Three rules run through everything here.

Feed it the numbers. The commonest cause of bad output is asking a model to analyse data it has never been shown. Every prompt in this handbook names its input. If you skip the input, you get fiction.

It drafts, you review. Nothing in here removes the review. It removes the looking, the retyping and the first draft. A qualified person signs everything that leaves the building.

Say what you want back. A prompt that does not specify the output format gets prose when you wanted a table. Every prompt here specifies.

Which plan

Use a paid tier. The free tier will run out mid-file on a real ledger, and a truncated analysis of a client's accounts is worse than none.

Check your plan's terms on training. Business and enterprise tiers exclude your inputs from model training by default. Consumer tiers may not, and the setting can move. Check it, screenshot it, and put the screenshot in the file described in section 2.

One Project per client

Claude Projects hold a set of files and a standing instruction that applies to every conversation inside them. Set one up per client, or per client group.

Into each Project, put:
